Adding Comments

To Insert a comment into your document, select the text or item you want to comment on or click at the end of the text. Comments will not show up when the document is printed.

Nick wants to seek comments from other members of the group regarding the newsletter. He wants to facilitate online reviews, make and view tracked changes and comments made by other members and respond to them without disturbing the layout of the newsletter.

To Insert a comment, select the text or item you want to comment on or click at the end of the text of the newsletter:

On the Insert menu, click Comment.

Type the comment text in the comment balloon.

If the comment balloons are hidden, use the reviewing pane.

Rest the insertion point over the balloon to display the name of the reviewer.

To respond to a comment, click in the comment and then click comment on the insert menu. Type your response in the new comment balloon

To insert an ink comment. You need to be running MS Word 2003 on a Tablet PC to use this feature:

  • Select the text/item you want to comment on or tap at the end of text.
  • On the Insert menu, tap Ink Comment. Write your comment in the comment balloon.

Nick has received many suggestions from the members of his group. He wants to Merge these comments and changes from several reviewers into one document. How does he do it?

  • Open the newsletter into which you want to merge changes.
  • On the Tools menu, click Compare and Merge Documents.

  • Click one of the documents that contains the changes to be merged.
  • Click the arrow next to Merge, and then click Merge into current document.

  • Repeat steps 2-4 until all copies of the document are merged.

Nick wants to reply to, edit, or delete a discussion comment.

  • At the end of the discussion comment, click Show a menu of actions and then click Reply, Edit, or Delete.
  • If you are replying to or editing a comment, under Discussion text, type your reply or type any changes you want to make to the text.
    • To delete a comment, right-click the comment and then click Delete Comment.

      To delete multiple comments:

      If the Reviewing toolbar is hidden, display comments by right-clicking on any toolbar, and then clicking on Reviewing from the shortcut menu.

      On the Reviewing toolbar, click the arrow next to Rejectand then click Delete All Comments in Document .

      To delete comments from a specific reviewer

      On the Reviewing toolbar, click Show. To clear the check boxes for all reviewers, point to Reviewers, and click All Reviewers.

      Click Show again, point to Reviewers, and then select the check box next to the name of the reviewer whose comments you want to delete.

      On the Reviewing toolbar, click the arrow next to Reject. and then click Delete All Comments Shown.

      Turn on or off marking comments in an e-mail message.

      On the Tools menu, click Options, and then click the General tab.

      Click E-mail Options, and then click the Personal Stationery tab.

      To turn on marking comments, select the Mark my comments with check box. In the box, type the text, this could be your name or initials, that you want to display along with your comments.

      To turn off marking comments, clear the Mark my comments with check box

      With a sound card and a microphone installed on your computer, voice comments can be added as sound objects inside comment balloons. Use the Insert Voice feature shown below.
